Using GruntWorx

  1. How do I use GruntWorx?

    Using a web browser, follow these simple steps:

    1. Select: Type in your client's name, or double-click the client's name from the list of clients you've already entered.
    2. Scan: Scan your client's paper documents using a standard document scanner into PDF files, or upload pre-existing PDF files from your computer.
    3. Send: Click "Submit" to send the data to us for processing via secure Internet connection.

    You can view what you uploaded by clicking the ‘Source’ icon next to the client’s name.
     

    After the data is processed through GruntWorx, you can view it by clicking the 'Organized' icon. (You may need to refresh your screen for the icon to appear).
     
    Once you've downloaded the organized PDF, you can choose to delete it by clicking the 'Delete' icon.

  2. Do you have a Quick Start Guide for using GruntWorx?

    Yes! There is a GruntWorx QuickStart Guide that you can read online, or download and print out that will walk you through the steps of using GruntWorx. Simply click the 'Tutorials and Guides' link from the Copanion Support page, and you’ll have instant access to our GruntWorx QuickStart Guide, available in simple PDF format.

  3. How do I enter a new client?

    You can enter a new client by:
     
    1. Click the 'dashboard' button in the top right corner, which will bring you to the 'Create Client' area, or
     
    2. Double-click on an existing client name, which will bring you to the 'Select Client' area . You can type over the existing text with the new client information, and it will save as a new client. (You’ll have to create a new, unique Client ID for the new client.)

  4. Are there any limits on the file sizes that I upload to you?

    Currently, the size limitation is 30MB per PDF. For PDF's larger than 30MB we recommend you split the documents between two or more PDF's.

  5. Do I need to wait until I've received all of my client's source documents before I use GruntWorx?

    Not at all. You can submit PDF's for a client as many times as you want, but each submission counts towards your processed returns balance. Therefore, if you submit 3 PDF's at separate times for a client, it will use 3 credits (returns) from your total. If you were to submit 3 PDF’s for a client in one submission, it will use 1 credit. You are able to attach up to 4 separate PDF files to a specific client, so you can add and remove PDF files as many times as you like (with each submission counting towards your balance), as long as there are no more than a total of 4 PDF files associated with the client.
    Note: If you resubmit files to which you have added notes or 'tic marks', these will be removed during reprocessing.

  6. Do I need to organize my source documents before scanning them?

    Not at all. Documents do not need to be organized, nor do separator pages need to be inserted prior to scanning. Multiple documents, however, should not be combined on a single page, and multipage documents should be kept together for best results.

  7. What are the ideal settings to use when scanning documents?

    To achieve optimal quality on the scanned documents, scan documents in 300dpi and Black&White.

  8. Can I use symbols, like ampersands, in my PDF file names?

    Some PDF filenames may cause an issue when those files are submitted to GruntWorx. Using the following symbols in the filename of a source PDF document is known to cause issues: ampersands ( & ) and apostrophes ( ' ).
     
    Examples of problem PDF filenames:
    O'Tool_tx2007.pdf
    Bill&Judy_Smith2007.pdf
     
    Renaming the PDF file and eliminating these symbols will allow the PDF to go through GruntWorx without issue.
     
    Examples of OK pdf filenames:
     
    OToole_tx2007.pdf
    BillJudy_Smith.pdf
    Bill_and_Judy_Smith.pdf

  9. Can I use the Scan function if my scanner is on a network, and not attached directly to my PC?

    Currently, Copanion is only supporting TWAIN-compatible scanners that are directly connected to a dedicated PC. Shared scanners on a network are not supported at this time. If you are on a networked scanner, you can always scan the client documents into a PDF file on your desktop, and then upload those to GruntWorx.

  10. What if pages in my PDF are upside-down or sideways?

    No problem! GruntWorx will rotate and align all pages to the same direction in the organized PDF that you receive, making it easier for you to work with.

  11. Is the order of the client documents customizable in the organized PDF?

    GruntWorx does not re-order the pages in the PDF. Because GruntWorx categorizes the pages and bookmarks them, the integrity of your source file and the physical order of the pages will remain the same as in your original source document. Therefore, if you select a page in the bookmark, you jump to that page directly. All W-2's are bookmarked together, as are all 1099-INT's, etc. Currently, the order of the bookmarks is not customizable through GruntWorx, but you can still edit or customize the organized PDF as you wish with a PDF editing program, such as Adobe Acrobat).

  12. How do you handle client data in their own handwriting (not on an organizer or government form)?

    GruntWorx recognizes handwriting, and will label them under 'Handwritten Notes'.

  13. Do organizer pages need to be included in the scanned papers?

    GruntWorx does indeed classify and bookmark organizer pages, so you can certainly include them.

  14. What do you mean when you say the organized document is 'editable'?

    The bookmarked and categorized PDF file that is returned to you after GruntWorx processing is a standard format PDF file, and is as fully editable as any other PDF file, using software such as Adobe Acrobat TM, etc.

  15. Can I print out the pages in the order of the bookmarks?

    Yes, just follow these simple steps to print out the documents in the organized PDF in the order of the bookmarks:
    1.  Open the PDF
    2.  Click on the bookmarks icon so all of the bookmarks show
    3.  Select and highlight the first bookmark
    4.  Hold down the <Shift> key and click on the last bookmark to highlight all the bookmarks (Note: only the Chapter headings will be highlighted)
    5.  Right-click on the mouse, and select 'Print'
    6.  The pages will then print in the order of the bookmarks

    Please Note:  This is not a standard procedure supported by Copanion, but a learned function of the PDF format.

  16. What is the advantage to having two monitors?

    Using two monitors as an extended desktop will allow you to have the organized PDF open on one monitor, and your tax prep software open in the other, allowing for easy navigation through the tax documents to create faster, more accurate data entry.

  17. Why can I only attach 4 files to a client… what if I have more than 4?

    Currently, up to 4 PDF's can be submitted for a single client. You can use various PDF writing/editing software to combine PDF's if you have more than the maximum of 4.

  18. How do I download the completed PDF files?

    You can download and save the organized file in a couple of ways:

    1. Saving without opening the file
      1. Click the 'View Organized' icon next to the taxpayer
      2. In the 'File Download' window, click 'Save'
      3. In the 'Save As' window, you can choose to save it to wherever you like (your desktop, specific folders, specific drives, etc.)
    2. Saving the opened file
      1. Click the 'View Organized' icon next to the taxpayer
      2. In the 'File Download' window, click 'Open'
      3. The organized PDF will open in a new window.
      4. In the open PDF file window, click 'File'
    Choose 'Save As', then save it to wherever you like (your desktop, specific folders, specific drives, etc.)
